Booking Terms and Conditions

  1. Attendees are subject to a non-refundable booking deposit.
  2. Refunds will only be given in extenuating circumstances. The decision of the Director of Ministry regarding what will be considered as extenuating circumstances will be final. Should an attendee wish to seek a refund they should notify the Director of Ministry in writing immediately at stuart.blount@elim.org.uk. The date of receipt will be the date on which any refunds are based. Please note that the office of the Director of Ministry will confirm they have received your request for cancellation. Should you not receive confirmation, this will mean that your email or letter has not been received, and therefore, you will not be entitled to any refund.
  3. Subject to point 2, any refunds made will be issued as follows:
    Prior to 21 May 2022 - a £25 admin fee will be charged.
    After 21 May 2022 – No refunds available
    All booking fees (3%) and card handling fees (1.4% + 20p) are non-refundable.  
  4. It is the responsibility of the customer to inform the office of the Director of Ministry of any change of address, contact phone number or email address after booking. Please note that our preferred method of contact for customers booking online is by email, so care should be taken to provide a current, valid email address.
  5. While we try and ensure that all prices on our website are accurate, errors may occur. If we discover an error, we will inform you as soon as possible and give you the option of reconfirming your attendance at the correct price (and credit or debit your account as applicable) or cancelling your attendance. If we are unable to contact you, you agree that we may treat your attendance as cancelled. If you choose to cancel after you have already paid the incorrect price for the event, you will receive a full refund from us.
  6. Delegates acknowledge the ongoing COVID-19 crisis in the UK and accept their obligation to comply with any official guidance from UK Government. The Director of Ministry and delegates agree to communicate without delay any issues they may have in performing their obligations under this agreement. You acknowledge that COVID-19 may require the conference venue to take one or more of the following measures for the safety of their staff and the safety of delegates attending this event:
    1. impose maximum delegate numbers at the event;
    2. limit food or drink availability;
    3. impose specific requirements regarding personal protective equipment such as the wearing of masks;
    4. restrict the overnight stay if applicable; and/or
    5. limit any planned entertainment for this event;
    6. designate alternative entrance and exit routes.
  7. Should the event be cancelled due to unforeseen circumstances ticket holders will be offered tickets at a rescheduled event (subject to availability) up to the face value of the tickets or, if the ticket holder is unable to attend the rescheduled event or the event is not rescheduled, a refund. Refunds for tickets purchased prior to the date of the original event will be given up to their face value.  In order to claim your refund, please apply in writing to the office of The Director of Ministry stating your booking number. You must comply with any other reasonable instructions of the office of The Director of Ministry. For accounting purposes any claim must be received within 28 days from the date of the cancelled event. This does not affect your statutory rights. Please note, in the event of this event being cancelled or postponed, the office of The Director of Ministry cannot be held responsible for any costs incurred by the customer for travel, accommodation or any other related service.
  8. Tickets are sold subject to the office of The Director of Ministry having the right to alter or vary the programme due to events or circumstances beyond its reasonable control without being obliged to refund monies or exchange tickets.  
  9. Attendees consent to filming, photography and sound recording as members of the audience and to these images and recordings being used for future publicity purposes.
  10. Any person(s) using Elim Conference Centre and facilities, do so at their own risk. Elim does not accept any responsibility for any loss or damage to any person, property or belongings.
  11. Access to conference centre accommodation
    1. Accommodation check-in from 3.30 pm on the day of arrival
    2. Accommodation check-out: by 9.30 am
    3. The conference venue reserves the right to charge additional fees for the failure to vacate a room and/or return the key to the venue reception by 9.30 am
    4. Lost key/Fob will incur a replacement fee of £30 per key and fob set.
  12. The Elim Conference Centre reserves the right, at its discretion, to terminate, without notice, an individual’s stay where deemed necessary through unacceptable behaviour or as a result of actions that are likely to endanger or offend others. In such circumstances any outstanding account must be settled, no refunds will be made.
  13. Smoking and vaping. Elim International, Regents Theological College and Elim Conference Centre are smoke-free areas. Smoking or Vaping is not permitted in any area, including all buildings, swimming pool, grounds and outdoor sports facilities, car parks. We ask that delegates refrain from smoking anywhere on the conference centre property. Please be advised the venue does not provide designated smoking areas or ashtrays. If any delegates do smoke, we ask that you remove your own cigarette ends, and dispose of them safely, and not in bedroom bins or toilets. Vaping devices should not be used on-site. Anyone in breach of this condition may be asked to leave immediately and will be liable for the cost of professional cleaning their bedroom and/or other venue space and/or fees associated with a raised false alarm.
  14. Alcohol. The Elim Conference Centre is an “unlicensed” venue and we are not permitted to serve alcohol. 
  15. Medial conditions and or limitations. For Health & Safety reasons please inform us in advance in writing, if you have a medical condition or restriction that may impede you in the event of a required evacuation. The conference centre reserves the right to accommodate delegates in accordance with statutory requirements for their safety, and if they are not advised in advance of any such medical conditions and/or limitations we shall not be held liable for refusing/not being able to accommodate any such person. Furthermore, if the conference centre is unable to accommodate the delegate we cannot be held liable.
  16. Pets are not permitted on-site or in the grounds at any time with the exception of being a verified Assistance Dog. Delegates with an assistance dog must bring their own floor mat and bedding. The conference centre will advise delegates with an assistance dog as to where they may exercise and toilet their animal. Guests must bring their own animal litter bags to be disposed of in designated external areas. The conference centre reserve the right to charge additional fees to any guest whose assistance dog causes any damage or soils bedrooms or venue spaces.
  17. In the event of damage to furnishings, including soft furnishings, which is considered by the management to be unreasonable or excessive, guests will be liable to either professional cleaning costs or cost of replacement if the former is unsuccessful or inappropriate.
  18. Guests are requested to vacate rooms by 9.30am on the morning of departure. Guests exceeding the departure time by a significant period will be charged for an additional night’s stay.
  19. Any faults or complaints should be reported to the management at the time of occurrence. We want your stay with us to be a fantastic experience and, where possible, would wish to resolve any problems you have as soon as possible.
  20. In the event of any major failure of any equipment, property or utilities, this will be dealt with as speedily as possible. We regret the management cannot be held responsible for any inconvenience caused. All equipment and property is maintained on a regular basis.
  21.  The Director of Ministry may enforce these terms in accordance with the provisions of the Contracts (Rights of Third Parties) Act 1999 (the "Act"). Except as provided above, this agreement does not create any right enforceable by any person who is not a party to it under the Act, but does not affect any right or remedy that a third party has which exists or is available apart from that Act.
  22. All of these terms and conditions are governed by English Law and any disputes arising out of any transaction with the Director of Ministry are subject to the exclusive jurisdiction of the English Courts.
  23. Neither party shall be liable for any failure or delay in performing their obligations where such failure or delay results from any cause that is beyond the reasonable control of that party. Such causes include, but are not limited to: power failure, Internet Service Provider failure, acts of God, epidemic, pandemic, civil unrest, fire, flood, droughts, storms, earthquakes, the collapse of buildings, explosion or accident, acts of terrorism, acts of war, governmental action, any law or any action taken by a government or public authority, including without limitation imposing an export or import restriction, quota or prohibition, or any other event that is beyond the control of the party in question.
