Finance Assistant

The Finance Assistant will work in the Elim International Centre and report directly to the Finance Manager (Central Finance Team). You will contribute to and support the Central Finance Team Function, to maintain accurate and up-to-date financial records, and provide timely support to all service users. As Finance Assistant you are required to perform all tasks to enable the completion of Month End Accounts to Trial Balance in the first instance, and develop your skills to cover additional duties.

Gift Aid Duties

  • Bank reconciliations: Daily reconciliation of dK Ledgers to Bank Statements. This includes accessing and print daily online bank statements, match existing entries, produce imports for recurring transactions, and investigate and generate individual imports for all other transactions;
  • Purchase Ledger: Coding and input of P/L invoices, sharing with Budget Holders for approval or query, preparation of monthly P/L payments Report for approval by Line Manager (FM & FD), lining up BACS payment for authorisation and timely payment;
  • Multiple Accounts Ledger Maintenance: Process income and expenditure transactions on a daily basis, on several ledgers, in readiness for twice-monthly Inter-Ledger reconciliations, and Month End completion;
  • Inter-Ledger reconciliations: Payments and Receipts between the ledgers need to be 'mirrored' (reconciled) and settled twice each month; mid-month and at Month End completion;
  • Journals: Creating and coding import journals for income and expenditure items;
  • Customer Support: Responding to email and phone enquiries, and provide timely support to all service users, including Vendors, Customers, Ministers, Finance Officers, all other HQ staff, and any other stakeholders and service users;
  • Provide Income Facilities: Provide facilities to collect and/or receive payments from donors via offering Direct Debit forms, taking credit and charge card payments over the phone, and /or providing bank details for Standing Orders or electronic/BACS payments to be made;
  • Digital Income Processing: Review the digital donations facility (PayThru) on a weekly basis and collate report for journal transfer into dK, and prepare distribution of funds to Local Church bank accounts;
  • Expenses Processing: Timely collection and processing of monthly expenses claims for all staff and volunteers, ensuring that each departments’ expenses are authorised and submitted on time;
  • Petty Cash: Maintaining a Petty Cash Imprest System, by issuing petty cash as needed, collating PC vouchers, and reconciling vouchers and cash balance to Imprest amount. Petty Cash should be reimbursed to imprest amount on a regular basis;
  • Investigation Skills: Exploring whatever avenues necessary to sustain the effective, efficient, and economic processing of all financial transactions and business data, with accuracy and in a timely fashion;
  • Bank Liaison: Liaise with the banks to identify transactions;
  • Filing: All documentation must be filed frequently, and sometimes scanned, to keep reference files up-to-date and to facilitate easy investigation work.

Duty Chef

Reporting to and working with the Catering Manager and Head Chef, the role is responsible for the front of house service which is in line with the in house standards & statutory regulations.

Your main duties and responsibilities will be:

  • To prepare and cook meals, and snacks to the standards required by the management;
  • In the absence of the Head/Sous Chef, lead the kitchen team;
  • Run full shifts by yourself;
  • To ensure that company and statutory regulations pertaining to Health, Safety & Hygiene are adhered to;
  • To complete necessary documents for accurate record keeping;
  • To help with ordering, stock rotation, putting delivery’s away and stock taking;
  • To deal with customers at all times in a friendly and helpful manner;
  • Help train junior chefs;
  • To help with costing and planning daily menu’s;
  • To attend staff meetings as necessary;
  • To report to management immediately any accidents, fires, thefts, losses, damages or other irregularities;
  • To report to management any customer complaints or compliments;
  • To receive any training that may be necessary;
  • To undertake any kitchen cleaning duties;
  • To undertake any other reasonable duty as requested by management;

Duties and Responsibilities

Archive Responsibilities

  • Working independently and efficiently, using your initiative;
  • Scanning important and confidential documents into digital format and saving into directories
  • within a digital filing system;
  • Maintaining the accessibility of the archived documentation and integrity of the Filing system;
  • Analysing the quality of archived material for the future viewer;
  • Disposing of confidential documents;
  • Confidentiality: All employees are expected to conduct themselves in a professional and ethical manner. All information and data accessed during your employment are not to be discussed or disclosed outside of the EIC offices or to anyone other than your immediate Line Manager;
  • Responsible for maintaining motivation of yourself and other team members involved in the archive process;
  • Coaching other team members involved with archiving and monitoring their productivity, attitude to work, accuracy, efficiency and tidiness;
  • Logging and reporting your progress to your line manager on a daily and weekly basis;

Banking Responsibilities

  • Transfer and paying in of all daily banking, to be deposited at the local branches in Malvern of the Lloyds, Nat West and HSBC Banks respectively.
  • The banking will have previously been prepared by office staff and shall be ready for collection from the Accounts Office by 11am each day, but can be collected at the post-holders convenience thereafter.
  • The appropriate applicant will have use of their own vehicle.
  • This duty should be performed on daily basis when you are on site (minimum of 3 days per week), during business hours, and during the last half hour of your working day. You must be particularly aware of Bank closing times.
  • You will be reimbursed for your mileage at a rate of 40p per mile.
