Administration Assistant to the Director of Ministry

Elim International Centre is currently recruiting for an experienced Administration Assistant to provide administrative support to the Director of Ministry. Your role is integral to ensure that the objectives of the Director of Ministry are met.

You will need to deliver an effective and competent level of administrative /secretarial support including the administration of meetings, accurate record-keeping and diary management as well as acting as the first point of contact for the DoM. You will need to be able to work effectively and unsupervised in the absence of DoM and you are expected to work collaboratively with the organisation’s PA's.

You must have demonstrable working knowledge of MS Word, Excel, PowerPoint, Publisher and Outlook and possess excellent communication skills both written and spoken.

Duties and Responsibilities

  • Acting as first point of contact for the DoM, dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders, referring to others as appropriate.
  • Managing an electronic diary, including arranging and changing appointments, prioritising these as appropriate.
  • Sorting and prioritising incoming mail / e-mail, distributing and corresponding where appropriate, on behalf of the DoM.
  • Answering telephone calls, taking messages and passing on accurate information etc. to the relevant departments/person.
  • Dealing with the DoM’s visitors to Elim International Centre, organising hospitality and signposting where required.
  • Photocopying and word processing documents, letters, emails, minutes, action logs and reports when required.
  • Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely in line with GDPR regulations and is accessible to other members of the team as appropriate.
  • Being able to work on your own initiative and unsupervised, within defined policies and procedures and to set timescales.
  • Having a flexible/adaptable approach to work in order to meet various deadlines.
  • Being responsible for organising meetings and events for the department and carrying out the relevant administrative work as required (such as preparing agendas and completing minutes).
  • Proof-reading, word-processing, compiling and preparing minutes, reports and presentations.
  • Inputting into, monitoring and printing reports from computerised systems.
  • Collating and filing expenses.
  • Booking and arranging travel, transport and accommodation when and where directed
  • Carrying out other appropriate delegated duties as required.

A mixture of homeworking and office working is available for this role and will be discussed with the successful candidate. The office working would depend on the restrictions at that time in regards to Covid-19.

 

Additional details

  • Salary: £20,000 - £23,000 Pro-Rata
  • Location: Elim International Centre
  • Permanent Part-Time Contract: 3 days or 22.5 hours.

Limitless Videographer and Media Manager

Limitless is the national youth and children’s ministry of the Elim Pentecostal Churches in the UK & Ireland. We exist to reach young people, equip youth leaders and inspire dynamic youth ministry through the local church, by offering a range of activities including national and regional youth events, training programmes (up to degree level), resources and church consultancy.

Limitless is looking for a highly motivated, action-oriented person to take the media produced by the Limitless team to the next level.

The first and most important specification on this job description is for any applicant to have a living and vibrant personal relationship with Jesus, to be spending daily time with Him and setting an example for others in their character.

The role

  1. To take a lead on all of the media that comes out through Limitless – including social media, videos, email mail out and others as directed.
  2. To be filming, editing and promoting video content that can be distributed through various mediums and channels.
  3. To recruit a team of volunteers to be able to help with different areas of media as needed.
  4. To be finding new and creative ways to be interacting with young people and youth leaders alike, through media and video.

A genuine occupational requirement exists for the post-holder to be a Christian who assents to the Elim basis of faith in accordance with the Equality Act 2010. Any successful applicant will be subject to a DBS check. Any offer of employment is conditional upon successfully attaining the funding from the Rank Foundation. The successful candidate is required to attend the Rank Foundation Funding interview in the first week of February (date TBC).
