Executive Personal Assistant

Elim International Centre is currently recruiting for an experienced Executive Personal Assistant to provide administrative support to the Director of Ministry and the Executive Director. Your role is integral to ensure that the objectives of both senior directors are met.

The post holder will be an enthusiastic and driven individual who is professional, confident and efficient with the ability to prioritise their workload and work autonomously. Integral to this role is the ability to be confidential, build excellent working relationships at all levels within the organisation especially when dealing and engaging with senior managers, external stakeholders and church ministers.

You must have a demonstrable working knowledge of MS Word, Excel, PowerPoint, Publisher and Outlook and possess excellent communication skills both written and spoken.

Duties and Responsibilities

Key elements of the role include:

  • Acting as first point of contact for the ED and DoM, dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders, referring to others as appropriate.
  • Managing the electronic diary for the team, including arranging and changing appointments, prioritising these as appropriate.
  • Sorting and prioritising incoming mail / e-mail, distributing and corresponding where appropriate, on behalf of the DoM/ED.
  • Answering telephone calls, taking messages and passing on accurately to the relevant departments/person.
  • Dealing with visitors to the base, organising hospitality and signposting where required.
  • Ensuring that all complaints, comments and suggestions are dealt with appropriately, in accordance with policy, resolving where possible and escalating to line manager when appropriate.
  • Photocopying and word processing documents, letters, emails, minutes, action logs and reports when required.
  • Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team.
  • Being able to work on own initiative and unsupervised, within defined policies and procedures to set timescales.
  • Having a flexible/adaptable approach to work in order to meet various deadlines.
  • Being responsible for organising meetings and events for the department and carrying out the relevant administrative work as required (such as preparing agendas and completing minutes).
  • Inputting into, monitoring and printing reports from computerised systems.
  • Booking and arranging travel, transport and accommodation when and where directed.
  • Undertaking research and development as directed.
  • Carrying out other appropriate delegated duties as required.
  • Attend training as required.
  • Proofreading, word-processing, compiling and preparing minutes, reports and presentations.
  • Collating and filing expenses.
